Check-in time is 4:00 PM Central.
Check-out time is 10:00 AM Central.
Door locks are time activated, plan your travel accordingly. During Peak seasons not, all units may be ready for check-in promptly at 4:00 PM Central. We encourage guest to have alternate plans, especially if you have infants, special needs, expecting mother, or elderly accompanying guest. Your patience is greatly appreciated.
Please leave on time so the unit may be prepared for our next guests.
The locks will not work after 10:00 AM
Guests arriving after 4:00 P.M. or on a major holiday should contact the office prior to arrival regarding check-in procedures if you do not have your Confirmation Email explaining check-in procedures.
Early Check-in / Late Check-out Requests
With prior scheduling, early check-in and/or late check-out may be available with an additional $50.00 -$100.00 fee based on location, which is used to employ supplementary cleaning services. Early check-in time is 1:00 PM Central and your late check-out time is 12:00 PM Central. As there are a limited number of these requests that can be accommodated, you will need to make your arrangements for early check-in or late check-out several weeks prior to your arrival date.
Lost and Found
Lost and found items will be kept at the office (Located @ 9621 Beach Blvd. Panama City Beach, Fl 32408) for up to 30 days. Reasonable attempts will be made to contact the guest to reclaim their lost Items. If you leave an item behind, please notify us. Guest must satisfactorily identify the item before return instructions are given. Hazardous, perishables, and personal care items are discarded. All other items, if not claimed in a timely manner, will be discarded, provided to the Police or Sheriff’s Department, or donated to charity, as appropriate.
Reservations are accepted up to one year in advance.
There will be no loud music. Ear plugs are required not to disrupt another guest. The pool will be opened from 8:00 am to 10:00 pm. (No exceptions)
The laundry area will be opened from 8:00 am to 9:00 pm. (No exceptions) Please have your cleaning completed on or before 9:00 pm.
All of our properties are 25+.
Any reservation made under false pretenses will be subject to eviction and forfeiture of deposit and/or rental monies paid according to Florida Statute 509-141.
Minimum Stay Requirements
All seasonal rentals require a minimum advance reservation. Most properties have a 3-night minimum and others a 4-night minimum. We have a few properties that have a 7-night minimum. If you require a shorter stay, please call to ask for availability and rate.
The maximum number of guests per unit is based on the individual unit’s ability to comfortably and safely accommodate our guests. If maximum occupancy is exceeded, you may be asked to vacate the property and forfeit any rental payments.
Reservation Down Payments
A minimum down payment of 50% is required at the time of booking a reservation. The down payment will be applied toward the total rent due. Payment is to be made in the form of Visa, Master Card, or Discover. The down payment IS NOT a Damage Deposit & NOT Refundable.
The Balance is due in full fifteen (14) days prior to scheduled arrival check-in date. This payment may be made in the form of bank cashier’s check, Visa, Master Card, or Discover. No Money Orders. You will receive a Payment Request via our website 15 days prior to your check-in date.

Checks must arrive 25 days prior to check-in date giving adequate time to process.
Refundable Damage Deposit
While, a $500 refundable damage deposit may be required. It will be due 30 days prior to arrival paid by personal check or cashier’s check or paid in cash on arrival. We do not accept Money orders. This Refundable Damage Deposit is NOT applied toward rent; however, it is refundable within (21) days of departure, provided the following provisions are met:
A: No damage is done to the property or its contents, beyond reasonable wear and tear. (there will be a charge for repair and or replacement of these items equal to cost and delivery or service)
B: All debris, rubbish, and discards are taken out and placed in building trash receptacles (there will be a $75 charge for trash).
C: No soiled dishes, or an excessive cleaning charge will be billed in the amount of $75.00. (For excessive cleaning)
D: If linens are missing or damaged (there will be a charge for replacement of these items equal to cost and delivery)
Changes to booking dates and/or rental property have to be made more than thirty (30) days prior to arrival for short term reservations and more than sixty (60) days prior to arrival for monthly reservations. All payments, will transfer in full to your booking dates and or property.
If you reserve dates more than 28 days/nights, you may have special long-term rates. If you change your dates to less than 28 days/nights, this will cause the rates to change to regular daily rates. As long as you maintain more than 28 days/nights your special long-term rates will not change.
Any collected funds that are non-refundable includes the first down payment. See cancellation schedule below.
We do not refund for undesirable weather conditions such as tropical storms or marine phenomenon such as jellyfish. We only refund unusable reservation dates do to mandatory evacuation by Panama City Beach Police.
If a Panama City Beach Police mandatory evacuation order is issued, refunds will only be given for approval at our discretion if you have booked a room before the storm was declared a hurricane within the dates of the hurricane.
Monthly Rental Reservations
Cancellations/changes must be made one hundred twenty (120) days prior to scheduled arrival dates. Cancellations/changes made over one hundred twenty (120) days prior to arrival will be charged $100. Cancellations/changes made within one hundred twenty (120) days prior to arrival will be charged $300.00. The monthly rate is for 30 days. We do not pro-rate the monthly rate for early arrivals.
Pets are permitted only in designated rental units with a $75.00 nonrefundable fee on approval per stay. Proper documentation must be submitted and up to date regarding shots. Please check the pet restrictions prior to renting a pet friendly property. Otherwise, pets are not permitted in the rental unit or on the premises. No exceptions will be made. Guests found with a pet will be asked to leave with no refund of rent or security deposit and will be charged for a pest control treatment and a furniture & carpet cleaning. (Service Animals are exempt from non-pet friendly units only. Emotional Support Pets are not exempt.)
Upon arrival, if there are cleanliness issues, please contact our office, do not attempt to fix or clean yourself. We do not refund for the cleaning company’s errors or shortcomings. We require the cleaning company to correct all their cleaning deficiencies. Upon departure do not leave any trash behind or uncleaned dishes. We charge $75 for excessive cleaning and $75 for garbage removal.
Our vacation rental units are furnished. We try to under sell and over deliver our properties; however, your ideas and ours might not agree on any given property. We will not give refunds or adjustments if it does not meet your idea of the property. We manage clean properties, which are furnished to the owner’s taste. There are no two properties with the same decor, description. Inventories and furnishings are subject to change without notice. In the event of a break down, we strive to make repairs as soon as possible. Neither, management nor owner will be obligated to provide replacements nor give refunds for failure or absence of any item. Please understand once you have booked the unit it prevents anyone else from using it.
No compensation will be given for temporary outages of electricity, gas, water, or cable, internet or telephone service. Outages will be reported immediately and all efforts will be made to have them restored as soon as possible. The operation and maintenance of these utilities are out of our control. Due to occasional circumstances beyond our control, swimming pools, laundry facilities are not guaranteed with any reservation.
All of our units are non-smoking. All smoking devices or types of smoking materials is strictly prohibited inside any unit. Additional housekeeping charges of up to $250.00 will be applied for additional cleaning expenses if guest is found to be in violation of this policy.
Minors are not permitted to consume alcohol anywhere within the Property(s). The legal drinking age within Florida is twenty-one (21). Violators will be immediately evicted from the Property(s), if guests or renters, and face the possibility of prosecution.
Destruction of Property
There shall be no marking, marring, damaging, destroying, or defacing of any part of the Property(s). Tenants shall be held responsible for, and shall bear any expense of such damage caused by Tenants, his family, guests, lessees and/or invitees.
There shall be no obstruction or cluttering of the Property, including, without limitation, sidewalks, driveways, automobile parking spaces, lawns, entrances, stairways, decks, balconies, vestibules, or other Common Elements or areas. Fire exits, including stairways and walkways, throughout the Property shall remain clear at all times.
You must park in your assigned designated area only. One vehicle is allowed per unit at 9621 Beach Blvd Panama City beach, Fl. Two vehicles allowed at 9721 Beach Blvd Panama City Beach, Fl. Additional fees may apply at Grand Panama Resort Unit 104 at 11807 Front Beach Rd, Panama City Beach, FL for more than one vehicle.
What we Provide:
Bathroom: bath towels, wash cloths, hand towels 2 bars of soap per bathroom. 1 small shampoo & 1 small conditioner container per bathroom. 2 rolls of toilet paper per bathroom. 2 makeup removal packs. Kitchen: 1 roll of paper towels in kitchen. 1 kitchen dish towel, dish cloth, and pot holders. 2 Dishwasher packets (two-bedroom units only). 2 trash liners per trash container. Bedroom: 1 set of linen per bed consisting of a fitted and flat sheet, blanket, two pillows and cases. Sleeper sofas have complete set of sheets, blanket in one of the closets. Extra blankets are often stored in the room closet. Per property: Iron & ironing board, hair dryer. Two-bedroom units have washer & dryers. We provide 2 laundry detergent packets.
Guest should consider bringing:
Additional bath soap, shampoo, conditioner, toilet paper, paper towels, trash bags, laundry detergent, and makeup removal supplies. Aluminum foil, crock-pot, rice cooker, beach towels, beach/pool toys, and beach chairs.
Company and Management Indemnity
Sandy Beach Retreat, LLC and Management Staff, will not be liable for any damages to rental property or furnishings, nor for injuries resulting from any accident that may occur in or on the premises during guest occupancy. Management is not liable for acts of theft, vandalism, or damages to the guest’s personal property or items left in the unit. We assume no liability for error or omissions.
